Professional indemnity for event, wedding and conference planners.
Event work fails on timing and detail. A supplier that does not turn up, a permit never lodged, a double-booked venue, a contract signed on the client's behalf with the wrong terms. The client's loss is the cost of the event and the deposits already gone, and that is a professional indemnity claim rather than a damage claim.
Event planners manage weddings, conferences, corporate functions, festivals and product launches - venue sourcing, supplier contracts, budgets, run sheets, permits and on-the-day coordination. There is no registration requirement, but venues, councils and corporate clients commonly ask for evidence of both professional indemnity and public liability, and liquor and road closure approvals usually sit with the organiser.
Claims that an error in booking, scheduling or supplier management caused the client loss.
Exposure where a council, liquor or road closure approval was missed or lapsed.
Liability taken on when you sign supplier agreements on a client's behalf.
A wedding is confirmed for a date the venue has recorded differently, and the error surfaces weeks out with invitations already sent. The claim typically covers relocating the event, reprinting stationery and deposits that cannot be recovered from suppliers.
A caterer or marquee supplier contracted on the client's behalf goes into administration holding the deposits, and no replacement can be secured at short notice. Where the planner selected, contracted and paid the supplier, the client generally looks to the planner for the shortfall.
A street activation is shut down by council on the morning because the closure and noise approvals were not obtained in time. The loss is the whole production spend plus the client's committed marketing, and it is generally argued as a coordination and process failure.
Generally not by itself. Professional indemnity responds to a claim that your planning, coordination or advice caused the client loss, whereas cancellation from weather, venue failure, illness or a headline act not appearing is usually the province of a specific event cancellation policy. Many planners arrange both, and cancellation cover is often taken per event.
Most commercial venues, councils and corporate clients ask for certificates of currency for both public liability and professional indemnity before confirming a booking, and some require to be noted as an interested party. The limit is usually set in the hire agreement rather than by law. It is worth reading the hire terms early, because the limit can be higher than a small planner expects.
Injury to guests is generally a public liability question rather than a professional indemnity one, and responsibility can sit with the venue, a supplier or the organiser depending on the contracts and what caused it. Planners commonly hold public liability alongside professional indemnity for exactly this reason. Who carries it in a given case depends on the agreements in place and the policy terms.
It depends on the work rather than a standard rate. Insurers rate on event types and attendee numbers, typical budget per event, whether you contract suppliers directly or in the client's name, exposure to alcohol, ticketing and outdoor events, and claims history. Contracting suppliers in your own name generally increases both the exposure and the premium.
